Refund & Cancellation Policy

This policy explains how billing, cancellation, and refunds work for Tenet ERP subscriptions provided by [COMPANY LLC NAME] ("Company," "we," "us"). It supplements our Terms of Service, which govern the subscription relationship generally.

1. Free Plan

The Free plan costs nothing, requires no credit card to start, and has no expiration or trial clock — you can stay on it indefinitely. Because no payment is ever collected on the Free plan, there is nothing to refund or cancel.

2. Trials on Basic & Pro

Basic and Pro subscriptions do not include an automatic free trial by default — checkout begins billing immediately unless you have trial days from a referral credit (for example, from applying a referral code) applied to your account, in which case those days are shown to you at checkout before you confirm and your card is not charged until the trial ends. If you cancel before a trial you were granted ends, you will not be charged.

3. Canceling Your Subscription

You can cancel a paid subscription yourself at any time, in Settings → Billing, in either of two ways:

  • Downgrade to Free — cancels your Stripe subscription immediately and moves your organization to the Free plan right away. You (the account owner) keep access to the Free plan's job-pricer tools; everyone else on the team, and features beyond the Free plan, lose access immediately rather than at the end of the billing period.
  • Manage Subscription — opens Stripe's secure Customer Portal, where you can cancel directly with Stripe or update your payment method. Once a subscription canceled this way is fully ended, access to paid features is blocked and your account is directed back to Settings to resubscribe or downgrade to Free.

4. No Refunds for Unused Time

Subscription fees are billed in advance and are non-refundable, including for the unused portion of a billing period. Canceling — whether by downgrading to Free or through the Stripe Customer Portal — stops future billing but does not entitle you to a prorated or partial refund for the current period already paid for. This is standard for our subscription pricing and applies even though the Downgrade-to-Free option removes paid access immediately rather than waiting out the period.

We may issue a refund at our discretion in cases of billing error (for example, a duplicate charge) or where required by law. Contact [CONTACT EMAIL] for billing errors.

5. Failed or Declined Payments

If a renewal payment fails, your subscription is marked past due and we'll notify the account owner to update the payment method in Settings → Billing. Access to paid features is blocked while a subscription is past due, unpaid, or canceled, until payment is resolved, you resubscribe, or you downgrade to Free.

6. What Happens to Your Data

Canceling a subscription — by either method above, or having a payment fail — never deletes your data. Your clients, jobs, estimates, invoices, schedules, and other records remain intact in your account; only access to the features that require a paid plan is restricted. You can export a full copy of your organization's data at any time from Settings → Billing, and we recommend doing so before downgrading if you want a copy on hand.

Permanently deleting your organization's account and all associated data is separate from canceling a subscription and is not reversible. To request a permanent account deletion, contact us at [CONTACT EMAIL].

7. Pricing Changes

We may change subscription pricing on a going-forward basis with reasonable notice. Pricing changes apply to future billing periods, not to periods already paid for.
